The Appointment Setter Role-Play Test: 4 Calls to Hear Before You Hire
An appointment setter role-play test for HVAC, roofing, solar and other home services: the four calls to hear, what to listen for, and a scoring sheet.
Home-service companies hire appointment setters from the same job boards as everyone else. When we checked OnlineJobs.ph's real estate cold calling category on 21 October 2026, the 30 posts from the previous 12 hours included appointment setters for HVAC, plumbing, roofing and contracting. A setter's job is a few short calls done well, so hear those calls before you interview anyone. Here are four, what to listen for, and a scoring sheet.
Which setter this test is for
This test is for setters who call people who asked for a quote and book them a visit or a call. If your setters cold call businesses to book sales meetings, the skills differ: Hire Now's Sales Development Rep interview is built for that seat.
The four calls
These are the tasks in Hire Now's Appointment Setter interview, word for word. The lead asked for a solar quote; the calls are the same for any home service.
- Introduce yourself. "In two or three sentences, tell us who you are and why you'd be good at helping customers book appointments." Listen for a calm pace and a friendly tone before any script is involved.
- Call a new lead. "Sara filled out a form online asking for a solar quote. You call her. Say your first two or three sentences." Listen for who they are, why they're calling (she asked for the quote) and an easy question, warm and not salesy.
- Handle hesitation. "Sara says: “I'm really busy this week.” How do you reply?" A good reply agrees, then makes it easier: a shorter visit, another day, an evening slot. No pressure.
- Book the appointment. "Sara agrees. Offer her two time options and confirm the details she needs to know before the appointment." Listen for two specific options, then a check of the date and time, the address, who is coming and anything to have ready.
Use made-up leads like Sara. A lead who filled in your form asked to be contacted, but check that your form's consent covers calls and texts before anyone dials. General information, not legal advice.
The scoring sheet
| Skill | Listen for | Red flag |
|---|---|---|
| Clear on the phone | Easy to understand, calm pace, confident tone. | You'd ask them to repeat the time or the address. |
| Builds rapport | Warm, friendly and quick to earn trust. | Sounds like a script being read, or never says who they are and why they're calling. |
| Handles hesitation | Turns “I'm busy” into a booked slot, politely. | Gives up at "I'm busy", or talks over it without offering an easier time. |
| Books clearly | Offers times, confirms details, no confusion. | "When are you free?" with no options, or no check of the address, who is coming and what to have ready. |
Mark each skill strong, fine or weak. Our view: a weak mark on booking clearly rules an applicant out, because a visit nobody is sure about is a no-show. Warmth and handling hesitation can be coached.
Running it for 100 applicants
By hand. Put the four calls in your job post, ask for one voice note per call, and score every applicant on the same sheet before you invite anyone to an interview. Calls 3 and 4 show the most, so listen to those first.
With a screening link. A Hire Now screening link runs this test for you. Applicants from any country open one link on their phone and answer by voice (about 7 minutes, plus about two minutes for each of up to 3 questions of your own). You read the results on one page, best first, with scores, notes and every recording, and can download them as a spreadsheet. See a sample results page with made-up applicants. It's free for your first job post, for up to 10 applicants, then $99 per job post, for up to 50 applicants: start a screening link.
After the role-play
Interview the top few on a live call, ideally with a made-up lead in the style of your own form. Hiring a setter from Egypt, with hours and pay guidance, is covered on hiring an appointment setter. For real estate, the same test for cold callers is the cold caller role-play test.
Common questions
- What should an appointment setter role-play test include?
- Four short calls: a minute on why they'd be good at helping customers book, the first call to someone who asked for a quote, a lead who says "I'm really busy this week", and booking the visit with two time options and the details the customer needs.
- How do you score an appointment setter?
- Score what the customer would hear: easy to understand at a calm pace, warm and quick to earn trust, turns "I'm busy" into an easier time politely, and books clearly by offering times and confirming the details, with no confusion about when or who is coming.
- Does this test work for HVAC, roofing or solar setters?
- Yes, for setters who call people who asked for a quote: the test's lead asked for a solar quote, and the skills are the same for any home service. Add a question with your own service. For setters who cold call businesses to book sales meetings, the Sales Development Rep interview is the closer fit.
- How do I screen many applicants for an appointment setter job?
- Give every applicant the same calls before any interview and only interview the best few. With a Hire Now screening link, applicants do the role-play on their phone and you get them ranked with recordings: free for your first job post, for up to 10 applicants, then $99 per job post, for up to 50 applicants.
